Looking for a great location for your next special event or film shoot? The Region of Waterloo International Airport offers many unique options. Non-operational activities including commercial filming, photographyand special events need a permit.This process allows the airport to maintain a safe, secure and efficient operation.

How to obtain an event or film permit

Contact the the airport marketing lead to explain your project. You will be asked to provide as many details as possible - location, number of cast/crew, etc. If you wish to proceed, you must complete aFilm Request and Standard Certificate of Insurance form.

Note: Film production is not permitted during scheduled airline operations.

Use the legal name of your organization and have the completed Film Request form signed by someone who can legally bind the company.

Include proof of insurance - $2 million commercial general liability and name TheRegional Municipality of Waterloo as other insured.

Submit your completed Film Request form with Proof of Insurance to the airport marketing lead for review. Details of your project are reviewedby Airport Operations, the General Manager, Legal and Risk Management to determine next steps.

Note: This process can take up to 10 business days to complete based on the complexity of the production.

Based on the Film Request the airport will provide the applicant with a formal quote including the amount of the refundable security deposit required. (Please see 2022 Airport Rates & Fees)

If the quote is accepted by the applicant, final approval will be initiated. 48 hours prior to the start of filming the applicant must provide:

  • Full payment based on total amount outlined in the film production quote.
  • A certified cheque payable to The Regional Municipality of Waterloo for a minimum amount of $5,000 refundable security deposit.
