Creating an Invoice
Invoices may be created automatically when a contract is sent to the client for approval. This is usually done when upfront payment is required. In these cases, the invoice will appear in the invoice list automatically.
When upfront payment is not requested you will need to generate an invoice. This option will become available once officers have submitted their time sheets for the event.
To create an invoice, you need to:
- Login to the application and locate the request using the search tools
- In the search results click either the request number at the left of the entry or the view button at the right
The request will open for review. In the "Requests" menu, select the “Invoices” button.
This will open the "Invoice" list. You can create invoices for any entries marked as “Ready to Invoice”. If no entries are available you will have to wait until the event passes and officers submit their time sheets.
Select the "Create Invoice" button.
Complete the invoice details
A list will open showing all available dates for invoicing. Select the check boxes for all dates to be included in the invoice. The application will create a single combined invoice for all the selected dates. Then, select the “Create” button to continue.
A message will display informing you of the successful creation of the invoice. You will also have the option to send the invoice directly to the client. Then select “would you like to send the invoice to the client?” if you would like to proceed.
If you choose to send the invoice to the client, you will be given the option to send a payment request.
